This time of year as we transition to close one chapter and start a new one its natural to begin to think about goals and what you'd like to see accomplished in the coming year. Often people start with the big picture then zoom in on specific areas. This works great, I do the same thing. However I have noticed that as the year goes on and I get into pinch points there are some areas that I never zoom-in on I only do the quick fly-by.

The majority of most event's life-changing content is presented during the meeting. Therefore, it is easy to reason that zooming in on the details of a meeting space and the content is a very worth while task. There are a number of details that you can work out over the long term but cast a vision for how and why you'd like your meeting space set up. There are some issues you might need to bring to your host property's attention early in the booking process like size of space needed, types of table/chair configurations you're considering, etc.

Online registration is one of two things to planners: a lifesaver or a monster under the bed. Some have figured out that it is essential to their operation taking care of a ton of 

administrative junk that would otherwise keep them from planning the content of the event. Others are more cautious to engage with the technology for several reasons:

  • It's too complicated for me to figure out
  • It's expensive
  • I don't want to deal with some people on paper and some people online
  • That's not how we've done it before
  • We don't really promote online

To conclude my series on "Choosing the right fuel", today I am going to talk about social media marketing.

As an event planner, there are a few things to remember when using social media as a marketing tool. You must seek out your target audience. You have to go to them. Social media is a great tool to find new and existing audiences. Today, the younger generation doesn't tend to seek out opportunities for retreats. If you seek them out and build a relationship with them, they are more likely to respond. In r

eturn, they may even invite their friends to the event as well.

Social media can keep your event alive even after it is over. You can use a blog to post a wrap up of all the key highlights of your event. You can even add links to the presentations or downloadable documents. On your social media sites like Facebook, you can post photos from your event. Social media allows you to create a place for people to discuss what went on at the event with others who attended.

Make sure you listen to what people are saying about your event. You want to keep track of what people liked and what people didn't like. That way, as you are planning your next event, you know what to change.
